How to invite employees to the Move To Happiness platform

This article explores the different ways to onboard your team: manually, via Excel upload or automatically through your active directory.

1. Manual

 

 

Step 1: Organization structure

Start by correctly filling in your organization settings. To do this, go to the menu and select "Organization Structure." Click on your organization to add locations. By default, it will show "not-provided."

For all locations, you can create departments. Do this the same way.

Step 2: Invite employees in bulk

Once you have done this, you can start inviting employees. Click on "Users" in the menu on the left.

To make it easier, you can choose "Add Bulk" in the top right corner. Start by selecting the location, department, and category for your first group of employees. These selections will apply to all users you add in the next step.

Click "Next" and then fill in the details of your employees. Add all employees within this group.

All employees will receive an invitation, but only those who activate their account will count towards your licenses. This means you can invite everyone to give them the opportunity to participate. You will only pay for active accounts.

2. Via Excel

Step 1: Download the Excel Template 

To obtain the Excel template, visit the URL: https://admin.movetohappiness.com/users. Once there, click on the '+' button located on the right side of the screen. From the options presented, select 'Download Excel File' to initiate the download of the template immediately.

Step 2: Understanding the template

To successfully onboard your team via Excel upload, it's important to understand the template and its required fields. Below is an overview of each attribute included in the template.

Required Fields in the Excel Template

  • Email: The employee’s work email.
  • FirstName: The employee’s first name.
  • Name: The employee’s last name.
  • Birthdate: The employee’s birthdate in a valid date format. If an invalid date is provided, it will default to 1900-01-01.
  • Language: The preferred language of the employee. Accepted values: "EN", "FR", "NL". If invalid, it defaults to "EN".
  • Gender: The gender of the employee. Accepted values: "M", "F", "X", "U". If invalid, it defaults to "U".
  • SubOrganization:
    • For enterprise clients: The name of the suborganization the employee belongs to.
    • For Happy Start/Happy Grow clients: The name of your company.
  • Location: The office location where the employee works.
  • Department: The department where the employee works.
  • Category: The employment category of the employee. 

Important Guidelines for the Excel File

Remove Example User: Before uploading, make sure to delete any sample data included in the template.

No Extra Worksheets: The file must contain only the provided worksheet. Do not add additional sheets.

Do Not Modify Headers: The column headers must remain exactly as provided in the template. Any changes may cause errors during the upload process.

Ensure Data Accuracy: Double-check all entries before uploading to avoid processing errors.

Note: The system does not process empty rows, and each row represents one employee.

 

Step 3: Uploading the Excel file

Log in to the Move To Happiness Admin platform. Navigate to the user section: https://admin.movetohappiness.com/users
Click the '"+" icon and select “add excel” and select the Excel file from your device. The file will now start a background process. The users will be created or updated as needed.

Note: The Excel upload feature is only used to add or update users. It will not archive users on the platform. 

A pop-up window will appear to display the progress of the background process. This window will refresh every few seconds to provide updates. Once the process is complete, you will see a status message indicating whether the operation was “COMPLETED” or if there was an “ERROR.” If an error occurs, detailed information will be provided to help you understand the issue.
