AI- TRANSPARENCY STATEMENT FOR END USERS

Move To Happiness uses artificial intelligence in specific parts of its platform, including the AI buddies. This statement explains, in a clear and transparent way, what the AI buddy is, how it works, and what its limits are. It also describes how your conversations are handled, what safeguards are in place, and how your information is protected.

1. Purpose


We (Move To Happiness) use artificial intelligence in certain parts of our platform, including the AI buddies. These AI buddies are chatbots designed to support your well-being through conversation, guidance and reflection.
The purpose of this document is to explain, in a clear and transparent way, how the AI buddy works. It explains what the AI buddy is, what it does and what it does not do. It also explains how your conversations are handled, which safeguards exist and how your information is protected.
We provide this information as part of our commitment to transparency and responsible use of artificial intelligence. This also aligns with Article 50 of the European AI Regulation (Artificial Intelligence Act), which requires users to be informed when they are interacting with an AI system.


2. AI Buddy

The AI buddy is a chatbot based on artificial intelligence that is available within the Move To Happiness platform. You communicate with the AI buddy via written conversations. The AI buddy is clearly identifiable as an AI system, among other things because it is referred to as “AI buddy” within the platform and because users are informed via the chat interface that they are communicating with an AI system.We offer multiple AI buddies, each of which has a specific role within the platform. Examples include Wellness Wally, Bite Buddy, Snoozzz, Mind Master, Meno Buddy and Saving Sam. These buddies function as digital assistants who guide you through conversation and support.All AI buddies operate according to the same technical logic, but differ in their focus, instructions and the guidance they provide

 


2.1. Purpose of the AI buddy

The AI buddy is designed to guide you through interactive conversations within the Move To Happiness platform. You can use the AI buddy to receive guidance, to reflect, and to receive support across the various journeys and themes available on the platform.
The AI buddy can help you to:
• receive guidance within specific journeys, such as sleep, nutrition or mental resilience;
• gain insight into your habits and progress;
• receive practical suggestions that match your journey;
• receive accessible support through the platform.

2.2. How the AI buddy works

All AI buddies operate on the same technical foundation and use the same underlying AI technology. The differences between the buddies lie in their specific role, instructions and knowledge base. This determines how they respond and which guidance they provide.
The AI buddy generates responses based on:
• what you write during the conversation;
• the specific instructions and role of the buddy you are communicating with;
• the content and guidance available within the Move To Happiness platform;
• additional information that you voluntarily share and for which you have given consent, when this is relevant for the specific buddy. For example, Snoozzz may use wearable data to guide you better around sleep and recovery, and Saving Sam may use financial data to support you with your financial habits.
This allows each buddy to provide guidance that aligns with its specific purpose and with your use of the platform.
The AI buddy operates within predefined boundaries and can only function within the environment and functionalities of the Move To Happiness platform. It cannot perform actions outside this environment.

2.3. Limitations of the AI buddy

The AI buddy does not make decisions about you. It does not assess you and is not used to evaluate, classify or monitor you in the context of your work.
The AI buddy is not a doctor, psychologist or other healthcare professional. It does not make medical diagnoses and does not provide medical treatment.
The AI buddy does not provide binding advice and does not make decisions on your behalf. You always retain full autonomy over your choices and actions. The AI buddy functions solely as a supportive tool within the Move To Happiness platform.

3. Confidentiality and security

We attach great importance to the confidentiality and security of your interactions with the AI buddies. The AI buddies are designed and operate within a controlled environment with clear technical and organisational safeguards.

3.1. Confidentiality of conversations

Your conversations with the AI buddy are treated confidentially.
Your employer does not have access to your individual conversations with the AI buddy. Your employer cannot view your messages or the AI buddy’s responses and only receives aggregated and anonymised insights, as described in 3.2.
Your interactions with the AI buddy are used to enable guidance within the platform. These interactions remain within the secure environment of the Move To Happiness platform.

3.2. Organisational insights

In addition to individual guidance, the Move To Happiness platform can also generate insights at organisational level. These insights are based exclusively on aggregated and anonymised data.
This means that these insights do not identify individual users and cannot be used to view individual conversations or users.
These insights are intended to help organisations understand general trends and patterns around well-being. They are not used to evaluate or monitor individual users.
The AI component that generates these insights works exclusively with aggregated data and has no access to individual conversations.

3.3. Security mechanisms

The AI buddies operate within a controlled and secure environment.
We have taken technical and organisational measures to ensure that the AI buddies operate safely and correctly. This includes, among other things:
• the use of predefined instructions and boundaries that determine how the AI buddy works;
• the use of controlled content and guidance as the basis for the responses;
• safety mechanisms that help prevent inappropriate or unintended responses;
• security measures that protect your data against unauthorised access.
In addition, the AI buddies operate exclusively within the Move To Happiness platform and cannot access other systems or information outside this environment.

4. Privacy and data protection

We process personal data in accordance with applicable data protection legislation and with respect for your privacy.


4.1. How personal data is handled

Personal data may be processed to enable the Move To Happiness platform and the AI buddies to function correctly. This may include, among other things, information you provide yourself, information about your use of the platform, and additional data for which you have given consent, such as well-being data or data from optional integrations.
We take appropriate technical and organisational measures to protect your personal data. These measures are intended to safeguard the confidentiality, integrity and security of your data and to prevent unauthorised access or misuse.
Your personal data is processed only for the purposes for which it was collected and is not retained longer than necessary for these purposes, unless a longer retention period is legally required.
